Typical Project Workflow

ASSESS manages projects through an online software platform - The ASSESS Platform.  All projects are unique, but typically will adhere the following sequence.  The ASSESS Platform will support structured transition between the following states to track the overall progress of the project, and to provide transparency to status. 

The project dashboard on the platform will indicate the completed states, the current state, and the upcoming states.  Below is a screenshot from a project indicating the project is in the Report state.

As the project transitions notifications will be sent out to the appropriate participants to indicate the new state and any expectations.

Evaluation

Project evaluation entails gathering information from the project requester (i.e., the client) to better understand the scope and feasibility of the project.  It is important that information requested from the Project Administrator is completed in detail.

  • Assessment Input questionnaires are sent to the client to describe the technology in development and commercialization objectives.
  • A Statement of Work is created to define the requirements and deliverables of the project, as well as the budget.

Once the above are done the project transitions into the Planning phase.

Planning

In the Planning phase, the Project Administrator will do the following.

  • Request more detailed information from the client that will be used by the Assessor during the Assessment.
  • Use the details gathered from the Planning and Evaluation phase to recruit Assessors with the relevant expertise for the project.
  • Assign the appropriate Assessment structure and guidance for the recruited Assessor to complete
  • Establish the dates and timelines for project completion.

For some projects, the Project Administrator will create a document that frames the project, for review and acceptance by the client.

Once the above is done the project transitions into the Assessment phase.

Assessment

In this phase the Assessors are given access to an assessment template and methods guidance, along with the Assessment Input provided by the client.   The following activities take place:

  • Assessors complete the assessment, which is informed by review of the client provided Assessment Input.
  • Project Administrator monitor progress and ensure the assessments are completed properly.
  • Assessors and Project Administrator coordinate to verify the assessment aligns with the project deliverables, and to ensure high quality analyses.

Upon release from quality assurance, the project transitions into the Report phase.

Report

After the Assessor has completed their work, a Project Administrator creates the report, verifying that the formatting and style align with the project requirements and target audience .  The report is uploaded as a deliverable and the project transitions into the Review phase.

Review

During the Review phase the Client has opportunity to access the report, and there is a comment period for clarification and feedback on any deficiences or errors.   One the Client is satisfied with the report, the deliverables are finalized and the project moves into the Completed state.

Completion

After a project has been completed, the Client still has access to the final deliverables in the Client Portal, and these can be downloaded anytime in the future.
